How to add Business records for your non BID member contacts.

You can keep non-member businesses and contacts in your Vicinity CRM. Here are the steps for adding them πŸ‘‡πŸ»

Creating a new Non-Levy Business in the Directory

To add a new Business to the Vicinity Directory make sure you are on the β€˜Businesses’ tab.

  • Click new

  • Enter the Trading Name of the Business

  • Do not include a Property Reference number*

  • Choose a Sector, Area

  • Add the Address, Postcode etc

  • Add generic business email: eg Hello@, info@, enquiries@

  • Make sure you un-toggle the 'Voting Member' and 'Levy Payer' options.

*TOP TIP - Do not add the Property reference number to these records as they will not be included in the council data so will be archived each time the Data Updater is run.\

Adding additional detail to the Record

It is useful to add People associated with the Business before you hit save

  • Click to 'manage' people

  • Search the database to see if they already exist, if not hit the 'create new' button.

*TOP TIP - As a minimum a new contact should have a first name, last name and work-related email address.

It also helps to use tags when adding new contacts or new businesses for additional filtering power and helps the team understand who and what type of contact they are. For example for non-levy members useful tags might be 'Event contact' 'Secuty contact' ' external supplier'. Please see this article for creating new tags πŸ‘‰πŸ» Managing and Creating Tags
