How to delete and archive People from the Directory

You can make Businesses and People Inactive. This is a good way of making sure your data is in the best shape without having to permanently delete records from Vicinity.

That way if you need to review any details or view the history of a record it is all there in the background but still keeps your database sharp with only active Business and People records at the forefront each time you log in.

**Top Top - When you archive a person you should remove them as the primary or voter contact before you complete the below actions.

To archive a record follow these steps πŸ‘‡πŸ»

  1. Find your record in the database.

  2. Open the record using the view function.

  3. Click on the People tab

  4. Select the 'Manage' option and remove them as Voter/Primary if necessary.

  5. Hit Save.

  6. Click to 'Edit' the person's record.

  7. Click on the 'Active' toggle to archive the record.

  8. Hit save and then close the record.

  9. Refresh your database.

Of course, you can also completely delete a person's record from the database if you do not wish to make them inactive.

**You will only be able to delete if you have Administrator permissions.

  1. Click on the 'People' tab.

  2. Scroll to the Person you wish to delete, or use the filter function to search.

  3. Click on the delete icon.

  4. Click OK.

You can also delete a person from within the Business record.

Note: You cannot accidentally delete a record, a prompt will pop up to ask you if you are sure, once this is done it can only be recovered by our technical team and there is a charge for this service - think before you click.

Once you have deleted a Person this will remove them from the Directory and from any Businesses, Activities and Tasks they were once associated with.
