Inactive Records: The Basics

To keep your data tidy and at its best performance you can make a Record Inactive - this essentially archiving it from your database.

You can make Businesses and People Inactive. This is a good way of making sure your data is in the best shape without having to permanently delete records from Vicinity. That way if you need to review any details or view the history of a record it is all there in the background but still keeps your database sharp with only active Business and People records at the forefront each time you log in.

To archive a record follow these steps πŸ‘‡πŸ»

  • Find your record in the database.

  • Open the record using the view function.

  • Click on the blue 'Edit' button.

  • Click on the 'Active' toggle to archive the record.

  • Hit save and then close the record.

  • Refresh your database.

**Remember - if you archive a Business record you must check the people that are attached too, Do they need to be archived/deleted? Otherwise, they will remain active in the database and present on any exports you do.

To view an inactive record follow these steps πŸ‘‡πŸ»

  • Click on the blue settings button in the settings menu

  • Move the toggle to 'Show Inactive Records'

This will bring your archived records forward in the database. You can then search for your records using any of the normal filters, you can also bring the Active column forward and select 'No' from the drop-down filter to view only the inactive records in the database.

To make an archived record active again follow these steps:

You can do this from within the business or person record

  • Find your record in the database.

  • Open the record using the view function.

  • Click on the blue 'Edit' button.

  • Click on the 'Active' toggle to unarchive the record.

  • Hit save and then close the record.

  • Refresh your database.
