While our built-in Activity Types (Interaction, Job, Promotion etc -) provide a high-level view of how your teams are spending their time, Subtypes allow you to group activities together so you can drill down further.
For example, if you wanted to know how many business visits your team had undertaken in a given timeframe then you would define "Business Visit" as a Subtype of the "Interaction" Activity Type.
Unlike Activity Types that are built into Vicinity and shared by all our customers, Subtypes are defined and managed by you, via the Directory Settings menu.
Step by step: How to create an Activity Subtype
In the Directory, click 'Settings'.
Select the 'Manage Activity Subtypes' option.
Select 'New'.
Give the Subtype a name, adding a description of what it should be used for can be helpful to the wider team.
Select the 'Type' of Activity it is.
Save and Refresh.
When creating a Subtype you must give it a name and assign it to an Activity Type.
If you delete an Activity Subtype please bear in mind that it will affect any related Activities, which will be left with no Subtype assigned. Ideally, you should reassign or merge the Activities into another before you delete the unwanted Subtype or merge them.
Amending and Updating your Subtypes
From time to time you may wish to rename or recategorise an existing Subtype to live under a different Activity type. To do this follow these steps -
In the Directory, click 'Settings'.
Select the 'Manage Activity Subtypes' option.
Click the 'View' icon next to the Suptype you would like to make changes to.
Edit the information.
Hit Save and Refresh.
Sometimes you may find you have two Subtypes that are essentially the same thing but have Activities recorded against both, that's ok you can Merge them, please see our article on how to Merge your Subtypes ππ» here
