Things to consider when creating quantities to your Activities

This tutorial will help you understand how to use the Workbench Tally function to keep track of the number of Activities on the move.

For customers with street teams such as Ambassadors, Rangers and Police Officers you might find that your teams are logging lots of repetitive activities for the same actions - like directions, doorway cleaning or passing surveillance. 👮

The Workbench Tally function allows you to keep these repetitive tasks to just one Activity, while increasing the quantity stored on that record - essentially recording that it has been done more than once.

Things you might want to consider:

Where is the value?

If the activity is not delivering directly for a Business, but may still have value as part of the day-to-day work of your organisation, you might wish to group these together under one activity, with a quantity.

For example, Directions given by an Ambassador to places of interest, but not specific businesses - You might wish to know you did this 30 times, but don't need the specific details of each one when you're reporting.

ℹ️ HINT: If you still want to display this on all of your Businesses timelines, you can click the 'Display on All Timelines' tool within the Activity record.

If you're delivering for a specific business, or group of businesses

To be more specific with the Workbench Tally function you can create an Activity for each business or group and add then add to their tally in the same way as above. You just need to be more specific with the Activity's Public Description and assign the businesses to the Activity.

This would be particularly useful if you're wanting to demonstrate to that business/group how many times you have specifically served them - e.g. businesses on the High Street.

Ultimately, this comes down to what reporting outcomes you would like for the project or piece if work you are undertaking.

Consider, how frequently do you wish to record it?

Some customers wish to produce a daily report of how many times Activities have been logged, whereas some are happy to do this weekly or monthly.

HINT: The less-frequently you wish to report on it, will result in a smaller and more manageable list of Activities for your Solomon system to load and display on Timelines.
